1. Overview

Summa (“we”, “our”, or “us”) is a business conversation analytics platform designed to help teams turn recorded conversations into clear summaries, action items, and aligned follow-up.

We are intentionally built to reduce administrative burden without creating a sense of surveillance. Our system is designed to extract business-relevant insights and discard raw conversation data after processing.

2. What We Collect

We collect only the information necessary to provide the service:

Account Information

  • Name
  • Email address
  • Organization details

Uploaded Content

  • Audio recordings uploaded by users (from Zoom, Google Meet, Teams, phone recordings, or other sources)

Generated Data

  • Summaries
  • Action items
  • Ownership assignments
  • Business context derived from conversations
  • Sentiment and communication insights

Usage Data

  • Basic product usage analytics (e.g. feature usage, page interactions)

3. How We Use Your Data

We use collected data to:

  • Generate summaries, action items, and follow-up drafts
  • Provide Gmail draft generation and integrations
  • Sync relevant business context into connected systems (e.g. Salesforce)
  • Improve product quality and performance
  • Provide customer support

4. Audio Processing & Data Retention

This is a core part of how Summa is designed.

  • Audio recordings are ingested for processing only
  • Transcripts may be temporarily generated to extract meaning

After processing:

  • Recordings are discarded
  • Transcripts are not retained as long-term records

What remains is:

  • Structured business outputs (summaries, action items, insights)

Summa is not designed to store or act as an archive of conversations.

5. Business-Only Focus

Summa is designed for business-relevant analysis only.

  • We do not aim to capture or preserve casual conversation

Outputs are focused on:

  • decisions
  • responsibilities
  • next steps
  • relevant customer context

6. Third-Party Integrations

If you connect third-party services (such as Gmail or Salesforce):

  • We access only the data required to perform the requested action

Example:

  • Drafting emails in Gmail
  • Writing structured notes to Salesforce

We do not access unrelated data from those services.

7. Data Sharing

We do not sell your data.

We may share data only:

  • With service providers required to operate the platform (e.g. hosting, processing)
  • To comply with legal obligations
  • To protect the integrity and security of the platform

8. Security

We implement reasonable technical and organizational safeguards to protect your data, including:

  • encrypted data transmission
  • access controls
  • secure infrastructure practices

9. Your Control

You can:

  • delete uploaded recordings before processing
  • delete generated outputs
  • disconnect integrations at any time

10. Changes to This Policy

We may update this Privacy Policy from time to time.

If we make material changes, we will notify users through the platform or via email.
